EVENT & WORKSHOP FACILITATOR TERMS OF AGREEMENT – 2026

This agreement outlines the standard collaboration terms for all facilitators hosting events & workshop at AYMC Ubud and Uluwatu.


1. Legal Requirements

Facilitators must provide a copy of all required identification and valid work permit documentation including (for Indonesian citizens) KTP, or (for foreign citizens) passport, Visa Document (KITAS and IMTA, or other relevant work visa documentation), and a coordination letter from their sponsoring agency prior to hosting any offering at AYMC.


2. Marketing & Promotion

AYMC will actively promote the workshop/event through its channels, including social media, studios boards, newsletters, website listings at AYMC’s discretion and according to AYMC’s guidelines.


The Facilitator also agrees to actively support promotion through their own social media and marketing platforms, where permitted under the conditions of their KITAS. 


AYMC will provide the promotional assets to the Facilitator for review and approval. The Facilitator may request up to two (2) rounds of edits. Once the final version is approved by the Facilitator, no further changes may be requested.


3. Revenue Split & Payments

Workshop/events operate under a standard 60/40 revenue in favor of the Facilitator. 


All event-related expenses organized through AYMC (e.g., cacao, mandala, sound, lighting, etc.) will be added to your final bill and included within the 60/40 split.


Facilitator payouts are subject to applicable taxes, including a 10% PHR or 11% VAT where relevant. Additional withholding taxes (PPH 21, PPH 23, or PPH 26) may also apply depending on the Facilitator’s tax status, including whether they hold an NPWP and/or are contracted through an agency or legal entity.


Facilitator payouts are processed monthly and transferred approximately on the 10th of the following month, with pay slips to come approximately on the 15th. Accurate payment and tax details must be provided in advance.

IMPORTANT: Some visa agencies require payments to be made directly to their bank account. Please check with your respective visa agency to confirm their payment requirements and, if applicable, provide their bank account details so payment can be processed accordingly

4. Complementary Items, Discounts, & Guestlists

Each facilitator will receive one complimentary bottle of coconut water (Ubud) or Equil water (Uluwatu). No additional free items will be provided unless specifically agreed upon in advance.  


As part of your collaboration with AYMC, you are eligible for various benefits. Please refer to the attached document for further details. You are typically eligible for these discounts from 30 days before, and until 30 days after your event or workshop.


AYMC also offers discounts to certain community groups, and stakeholders (for example AYMC YTT students, AYMC yoga teachers, Alchemy staff, and investors) for events and workshops. The use of these discounts is closely monitored by the Events Manager, particularly for workshops with limited capacity, to prioritize full paying customers and help avoid revenue reduction at any one time.


Facilitators are welcome to bring guests to their events; however, this should be done sparingly, particularly for workshops with limited capacity, as guest spots reduce ticket revenue. As a general guideline, events with a maximum capacity of 30 participants or fewer are limited to one complimentary guest spot per facilitator. Any guest list requests must be communicated to the Events Team no later than 24 hours prior to the event.


5. Reimbursements

Any approved reimbursements must be submitted with valid receipts no later than the final day of the month in which the event took place. Reimbursements will be processed according to AYMC finance schedules.


6. Filming & Privacy

Filming or photography during events must receive prior approval from AYMC. If filming is approved, facilitators are responsible for informing participants before the session begins.


7. Conduct & Expectations

  • Arrive on time and fully prepared to begin as scheduled (including the designated time for set up and sound check)

  • Treat staff, guests, and participants with professionalism and respect.

  • No alcohol, smoking or vaping is permitted on the premises.

  • Facilitators are expected to proceed with their offering regardless of attendance numbers, including sessions with only one participant.

  • AYMC reserves the right to cancel an event only if there are zero sign-ups six hours prior to the scheduled start time.

  • Repeated lateness, cancellations, or unreliability may result in reduced scheduling priority or discontinuation of future collaboration.

  • Future event scheduling is not guaranteed, and remains at the discretion of AYMC Events Management.


7. Agreement

By signing below, the Facilitator acknowledges and agrees to the terms outlined above.
